The routine below is a suggestion, and no network requires it. What the networks themselves say about users and passwords is in section 5, with sources opened and checked on October 14, 2026. This is not legal or compliance advice.
A consultant who keeps several contractors current does the same year once for each of them, with each contractor’s own hiring clients and dates. What helps is one routine, one list of dated items per contractor, and a clear line between what the contractor does and what you do.
1. What changes with many contractors
Every contractor has its own networks, hiring clients and renewal dates, and the yearly dates repeat for each one: posting the OSHA 300A by February 1, the March 2 online submission where it applies, the Avetta annual update by March 31, and each network’s subscription renewal. The ISNetworld renewal checklist lists them with their sources.
Hiring clients also change their own requirements. Devon Energy’s public page, for example, says it may change its listed documents without notice (Devon Energy). So the work is less about knowing the rules once and more about not losing a date across many accounts.
2. A weekly routine
A suggested week. Adjust it to the number of contractors you keep.
- Monday: look at the whole list. Sort every contractor’s dated items by the next date, and write down what falls in the next 30 days.
- Tuesday to Thursday: prepare. Ask contractors for the documents that are due, check each one against the client’s list, and put the new expiry date on it. Send what is ready to the contractor to submit, or submit it yourself from your own user if the contractor has added you.
- Friday: close the loop. Note what was submitted and when, set the next date for each item, and send each contractor a short note of what is done and what is due next.
- Once a month: check each client’s list. Compare the requirements you hold with what the client shows on the network, and record what changed.
- Every January: plan the year. Before February 1, March 2 and March 31, check that each contractor has an owner for each of those dates.
3. What to track for each contractor
For every contractor, keep these dated items. Each one needs a date, a document and a person.
- Networks and hiring clients: which networks the contractor is on, which hiring clients it works for, and which network each client uses.
- Network subscriptions: the ISNetworld renewal (on or before the anniversary of the activation date), the Avetta renewal (every 12 months from the first subscription date) and the Veriforce subscription year (January 1 to December 31, with fees due by January 31 unless the order says otherwise). Sources are in the checklist.
- OSHA 300A: the posting date (February 1), who certified it, and where it applies the March 2 submission.
- Avetta annual update: March 31, for contractors on Avetta.
- Insurance: the expiry date of every policy, and each client’s limits and endorsements.
- Training and orientation: the expiry or renewal date of each certificate, by client.
- EMR letter, DOT and pipeline records: when a client asks for them.
- Client changes: the date you last checked each client’s list.
- Owners: who at the contractor and who on your side owns each date.
4. Who does what
In the agreements of all three networks, the party that holds the account and pays the fees is the contractor’s company. That sets the split.
| Task | The contractor | You, the consultant |
|---|---|---|
| Network accounts | Holds each account, accepts the network’s terms and pays the subscription. | Keeps the renewal dates and reminds the contractor before each one. |
| Logins | Adds you as your own user where the network allows it, and removes your access when you stop working together. | Works only from your own user, and never uses, asks for or stores the contractor’s password. |
| OSHA 300A | A company executive certifies the summary, and it is posted at the workplace. | Prepares the summary from the log and watches the dates: February 1 to post, March 2 to submit where it applies. |
| Documents | Provides the real certificates, programs and training records, and approves what is submitted. | Checks each document against the client’s list, puts the expiry date on it and links it to every client that needs it. |
| Hiring clients | Tells you when a new client appears or a client changes a requirement. | Checks each client’s list every month and records what changed. |
| Submitting to the network | Submits from its own account, or approves what you submit as its authorized user. | Prepares everything, so that submitting is a short step. |
Under the OSHA rule, the executive who certifies the 300A is the owner of a sole proprietorship or partnership, an officer of the corporation, the highest ranking company official at the establishment, or that official’s immediate supervisor (OSHA 29 CFR 1904.32). A consultant can prepare the summary, but the certification is the company’s.
5. Never share a login
Do not ask a contractor for its network password, and do not share your own. This is what each network’s own agreement says, checked on October 14, 2026:
- ISNetworld: a company may authorize an unlimited number of users, who must be employees or independent contractors working for the company. Each user must have a unique username and password, and usernames and passwords may not be shared. The company must remove a user’s access promptly when the person’s affiliation with it ends, and it is responsible for all activity through its account. (ISN User Agreement, section 4)
- Avetta: you must keep your login credentials confidential and report unauthorized access, and the customer is responsible for all actions taken under its account. Its authorized users include agents the customer authorizes. The agreement also bars bots, scraping and automated extraction from the Avetta services. (Avetta End User Service Agreement, section 5.) Avetta’s separate terms for Avetta University, its learning service, also bar account sharing (Avetta product specific terms).
- Veriforce: the contractor is solely responsible for approving and providing the usernames and passwords of its authorized personnel, who are its employees, independent contractors and representatives, and for all activity under them. Use of the service is limited to those people on the contractor’s behalf. (Veriforce Contractor Subscription Terms, section 3 and the definitions)
ISN says it in so many words; Avetta and Veriforce word it as confidentiality and authorized users. The practical rule is the same on all three: one person, one user. If a contractor wants you to work inside its account, ask its account administrator to add you as your own user, if the network allows it, and ask the network’s support how it is done. If you cannot get your own user, the contractor logs in and you prepare the work. When the engagement ends, ask the contractor to remove your access.
PrequalReady never asks for a network password and does not log in to the networks.
6. A simple checklist
- Every contractor has a list of its networks and hiring clients.
- Every dated item has a date, a document and an owner.
- Every Monday, the next 30 days are written down for every contractor.
- Nobody works from a login that is not their own.
- Each contractor has been told what is due next and who does it.
- Every January, the February 1, March 2 and March 31 dates have owners.
- Each hiring client’s list was checked this month.
- When an engagement ends, your access is removed.
7. Sources
Every source was opened on October 14, 2026. Where a page shows no date, we say so.
- ISNetworld, User Agreement for contractors and suppliers (no date on the page): renewal and users.
- Avetta, End User Service Agreement (last updated October 1, 2026, as shown on the page): users, credentials and renewal.
- Avetta, Product specific terms (Avetta University updated January 14, 2026, as shown on the page).
- Avetta, annual supplier update FAQ (no date on the page): the March 31 date.
- Veriforce, Contractor Subscription Terms (no date on the page): users, subscription year and fees.
- OSHA, 29 CFR 1904.32 and 29 CFR 1904.41 (no date on the first; latest amendment listed on the second: July 21, 2023): the February 1 and March 2 dates and who certifies.
- Devon Energy, Supplier Qualification Requirements (no date on the page).
Requirements change. Confirm each item with the hiring client and the network. PrequalReady is not affiliated with ISNetworld, Avetta, Veriforce or any hiring client, and their names belong to their owners.
8. The consultant view of PrequalReady
PrequalReady’s consultant view keeps up to 50 contractor companies under one login, each one apart, with its hiring clients, requirement lists, documents and expiry dates. It ranks the contractors by who needs you first, shows one list of what to do next across all of them, and sends one reminder email each morning. It does not log in to the networks, so it never needs a network password, and you enter the dates yourself. Contractors cannot log in yet. It is free during early access; the planned price is $29 per month for each contractor company. See the consultant view or a 3-minute demo with a sample company.
