Privacy notice

This notice covers the PrequalReady website (prequalready.com) and the PrequalReady app (app.prequalready.com). It describes what the software actually does today. PrequalReady is in early access: the app is free and nothing is charged.

Who we are

PrequalReady is operated by Roman Zabudskyi, an individual based in Ukraine ("we", "us"). For anything about your data, write to [email protected] or use the support form.

PrequalReady is independent software. It is not affiliated with ISNetworld, Avetta or Veriforce, and it does not connect to their systems.

What we collect

• Your account: your name, your email address, whether you confirmed it, and your password. The password is stored only as a salted hash (scrypt); we cannot read it. When you sign in, the session record keeps the IP address and browser of that sign-in. Sessions last up to 7 days.
• Your company workspace: everything you enter. That means the company name, the hiring clients and networks you track and the grades you type in. It also covers requirements with their statuses, due dates and notes; documents with their titles, types and expiry dates; the files you upload (PDF, Word, PNG or JPG, up to 20 MB each) with their original file names; and the links between documents and requirements.
• Activity records: a log of important actions in your workspace. Examples are an account or company created, a password changed, and support access granted, used or ended. Each entry records who did it and when, so you can see what happened and we can investigate problems.
• Email settings and reminder history: whether you want reminder emails, and which reminders were already sent, so nothing is sent twice.
• Messages you send us: through the support form on the website or by email. The form collects your name, your email, your company if you enter it, the topic and your message. We add a reference number and the page the form was sent from.
• Technical data: our hosting provider processes IP addresses, browser details and request logs to deliver and protect the website and the app. Our own logs never contain your password, your email address or sign-in tokens.

Please do not upload Social Security numbers, medical records or personal files of your employees. PrequalReady is built to work with company documents, summaries and counts.

How we use it

• To run your account and your workspace: show you what each hiring client requires, what is missing, what expires and what to do next.
• To send the emails the service needs:
  • confirmation and password-reset links;
  • reminders about your own dates: 30, 14 and 3 days before, on the day, and once after the date has passed. You can turn reminders off in Settings.
• To answer your questions and support requests.
• To keep the service secure: rate limits, blocking repeated wrong passwords, investigating errors and abuse.

We do not sell your information, we do not show advertising, and we do not use your workspace content to train AI models. The app has no AI features that read your documents.

Who can see your workspace

• You and the people who sign in to your company account.
• PrequalReady support, only if the company owner turns on support access in Settings. It lasts 7 days and can be ended at any time. Every visit is listed in Settings.
• Our operators can technically reach the database and file storage to run and repair the service. We do that only when it is needed for operations, security or a legal obligation, never to read your documents for any other purpose.

Other companies using PrequalReady can never see your data. Every request is checked against your company account.

Service providers

• Cloudflare hosts the website and the app. Your account, workspace records and files are stored in Cloudflare's database (D1) and private file storage (R2), with a location hint for Eastern North America. Cloudflare also sends our app emails (Email Service) and keeps short-lived request logs. Cloudflare may process data in other places to deliver and protect the service.
• Google Workspace hosts our support mailbox.
• FormSubmit delivers messages from the website support form to that mailbox.
• jsDelivr serves the fonts and icons of the website and the app. Your browser downloads them from jsDelivr, which sees your IP address.

We use AI tools, including Anthropic's Claude, to build and operate PrequalReady. We do not paste your workspace content into AI tools, except when you ask us for help with something specific.

Each provider processes information only to provide its service to us.

How long we keep it

• Account and workspace data: for as long as your account exists.
• Deleted items: a document you delete is removed from file storage right away, together with its versions. A hiring client or requirement you delete is removed from the workspace right away.
• Backups: our database keeps a 30-day point-in-time history so we can recover from mistakes. Deleted records can remain in that history for up to 30 days. Files are not in it.
• Support messages: kept in our mailbox for as long as we need them to help you.

To delete your account and company workspace, write to us from the account's email address. We delete them within 30 days and confirm by email. There is no self-service account deletion yet.

Security

Here is what protects your data today:

• traffic is encrypted (HTTPS) and passwords are hashed;
• files are in private storage and can only be downloaded through the app, after an access check;
• each company's data is separated, and automated tests try to break that separation;
• sign-in, sign-up and email sending have rate limits.

Two-step sign-in for customer accounts is not available yet. No system is perfectly secure. If we learn of a breach that affects your data, we will tell you without undue delay.

Your rights

You can ask us to show, correct, export or delete your information by emailing [email protected] or through the support form (topic "Data or privacy request"). We answer within 30 days. Depending on where you live, laws such as the CCPA in California or the GDPR in the EU may give you more rights. We honor them.

Cookies

Neither the website nor the app uses advertising or tracking cookies, and there is no analytics tracking. The app sets only the cookies needed to keep you signed in and to protect sign-in. Cloudflare may set strictly necessary security cookies.

Who PrequalReady is for

PrequalReady is a business tool for companies. It is not meant for children and we do not knowingly collect information from anyone under 18.

Changes

If we change this notice, we update the date at the top. If a change affects how we use existing data, we email account owners before it takes effect.
