An order can set different payment terms, and each hiring client sets its own requirements. This is not legal or compliance advice. Every source was opened and checked on October 14, 2026.
Veriforce differs from ISNetworld and Avetta in one way that matters for your calendar: its contractor subscription runs on the calendar year, not from the day you joined. Below is what its terms say about that year, what contractors upload, and the federal rule behind operator qualification.
1. Which Veriforce subscription
Veriforce’s page for contractors says different subscriptions exist depending on the region of work and the hiring clients you want to work with, and that prices are tiered by the number of employees. The US ones it lists are:
- Compliance Pro, a US contractor management subscription for showing safety and compliance.
- VeriSource, a US operator qualification subscription for contractors under US Department of Transportation (DOT) rules, covering qualified individuals, evaluation, drug and alcohol, and safety and pipeline training.
ComplyWorks and CHAS cover work outside the US. (Veriforce for Contractors)
Your hiring client decides which you need. Veriforce’s page for Williams, for example, asks contractors to activate Compliance Pro and connect to Williams, and adds VeriSource for DOT covered tasks (Getting Started with Veriforce: Williams).
2. The subscription year and fees
Veriforce’s Contractor Subscription Terms set the year and the money:
| Topic | What the terms say |
|---|---|
| Subscription period | Twelve months from January 1 to December 31, renewing automatically for another calendar year. |
| Fees are yearly | Fees are based on the calendar year and are not prorated or reduced for a partial year. |
| When they are due | Unless your order says otherwise, fees are invoiced annually in advance and due on or before January 31. |
| Other fees | Other fees, including increases from adding qualified individuals, are invoiced monthly in arrears and due on receipt. A pay-as-you-go option bills monthly in arrears for the qualified individuals who used the services the month before. |
| Qualified individuals | There is no refund or credit when you delete one, and one cannot be swapped for another during the calendar year. The DOT bundle fee is a calendar-year base fee tiered by the number of qualified individuals you subscribe. |
| Late payment | An invoice not paid within 30 days of its date is past due, and unpaid amounts carry interest of 1.5% a month or the legal maximum, if lower. All fees are non-refundable. |
| Price changes | Veriforce can change rates for a renewal year by giving written notice, by email or inside the service, at least 45 days before that year starts. |
Read literally, “not prorated” means a contractor that joins in the autumn pays the fee for the whole calendar year, unless its order says otherwise. Ask Veriforce about this before you sign up late in the year.
3. Renewal, notices and suspension
- Renewal is automatic. The subscription renews for another calendar year unless either side gives written notice of non-renewal at least 30 days before the current period ends. For a period ending December 31, that means by December 1.
- Where your notice goes. The terms say the contractor’s written notice of non-renewal goes to Veriforce, 300 Holiday Square Blvd., Covington, LA 70433.
- The price notice. If rates change for the next year, Veriforce gives notice at least 45 days before January 1, which is November 17.
- Suspension. Veriforce may suspend access if a payment is delinquent and not cured within five days after written notice. A suspension is not a termination. An account suspended for non-payment is charged a re-activation fee equal to the then-current activation fee before it is reinstated.
The terms page shows no date, and Veriforce may amend the terms with notice. Keep a copy of the version you accepted, and of your order.
4. What contractors upload
Veriforce’s contractor page lists uploads such as training records, safety programs, job safety analyses (JSAs), master service agreements (MSAs) and insurance certificates, with storage of records for up to six years and alerts about expiration dates. The terms add that everything you submit must be true, accurate and complete, and must meet the standards of the hiring client that asked for it.
Veriforce’s guide Get to Green for The Williams Companies shows one hiring client’s list in Compliance Pro. Other clients set their own lists, so treat it as an example:
- Operating details. Your NAICS code, operating region, industry and services are used to decide which requirements are assigned to you, so enter them carefully.
- Standardized safety questionnaire (SSQ). About 170 questions on health, safety and environment, OSHA and other statistics, based on the services you provide.
- Incident statistics. The current year to date and the last three full years, with your OSHA 300A and 300 logs uploaded. A company not required to keep OSHA logs still completes the table and uploads an OSHA exemption letter for each year.
- EMR. Your experience modification rate, its effective and expiration dates, and a verifiable copy from your workers’ compensation carrier, for the current and past three years. For Williams, the guide shows an EMR of 1.0 or less as acceptable, 1.01 to 1.10 as caution and 1.11 or above as unacceptable.
- Program reviews. Assigned from the services you select. For each question you upload your written program and highlight the section that answers it.
- Drug and alcohol. Status fed from your consortium or third-party administrator, and from VeriSource for DOT work.
- Client items. For Williams, monthly hours in FlexTrack by the ninth of the month, and Williams orientation courses, most of which must be renewed every year.
5. Operator qualification basics
The operator qualification (OQ) rule for pipeline work is in 49 CFR Part 192, Subpart N for gas pipelines and Part 195, Subpart G for hazardous liquid pipelines. The points below are from Part 192.
- A covered task is an activity, identified by the pipeline operator, that is performed on a pipeline facility, is an operations or maintenance task, is required by the rule, and affects the operation or integrity of the pipeline (§ 192.801).
- Qualified means an individual has been evaluated and can perform the assigned covered tasks and recognize and react to abnormal operating conditions. Evaluation can be a written or oral exam, a review of work history, observation on the job, in training or in simulations, or other assessment (§ 192.803).
- The operator owns the program. Each operator must have and follow a written qualification program that identifies its covered tasks and the intervals at which qualifications are re-evaluated. Someone who is not qualified may perform a covered task only when directed and observed by a qualified individual (§ 192.805). Because each operator sets its own tasks and intervals, two pipeline clients can ask for different qualifications.
- Records. Qualification records show who is qualified, for which covered tasks, the dates of current qualification and the method. They are kept while the person performs the task, and records of prior qualification are kept for five years (§ 192.807).
For contractors on DOT work, drug and alcohol testing rules can apply too (49 CFR Part 40 and Part 199). Veriforce’s Williams page says VeriSource verifies both DOT operator qualifications and DOT drug and alcohol for contract companies and their employees, and asks for biannual statistical data in January and July.
6. A year on Veriforce
| When | What |
|---|---|
| January 1 | A new subscription year starts. |
| January 31 | Annual fees due, unless your order says otherwise. |
| February 1 and March 2 | OSHA 300A posting and, if your establishment is covered, the online submission. |
| Every month, January and July | Only if a client asks: monthly hours (the ninth of the month for Williams) and VeriSource statistics in January and July. |
| November 17 | The last day Veriforce can give notice of new rates for the next year. |
| December 1 | The last day to give written notice if you will not renew. |
| All year | The expiry of each insurance policy, EMR letter, orientation and OQ evaluation, on the intervals your clients set. |
Put the fixed dates in your calendar: download the yearly dates (.ics). It holds the Veriforce dates of January 31 and December 1 and the OSHA dates, each repeating every year. The ISNetworld renewal checklist puts them next to the ISNetworld and Avetta dates, with sources.

8. Where PrequalReady fits
PrequalReady is a workspace that keeps each hiring client’s requirements, your documents and every expiry date in one place, ranks what needs attention first and emails reminders before your dates. It does not log in to Veriforce for you, you enter the dates yourself, and it does not judge whether your documents or qualifications are acceptable. It is free during early access. See the 3-minute demo with a sample company, the Williams requirements page for one Veriforce client, or the consultant view if you keep many contractors qualified.
